This policy explains what personal information Convotra AI Technologies Pvt. Ltd. (“Convotra”, “we”, “us”) collects through convotra.com, why, and what you can ask us to do with it. It applies to this website and to enquiries you send us through it.
Information we collect
When you send an enquiry
Our contact and consultation forms ask for your name, email address and phone number, and optionally your company, the service or package you are interested in, your budget range and a message. We receive exactly what you type in.
When you chat with the website assistant
Messages you type into the chat assistant on this website are sent to our own server to produce a reply, and the conversation is kept, together with the page you started it on, so our team can see what you asked and follow up. If you share your name, phone number or email in the chat, they are added to our customer management system and sent to our team by email, so we can call or write back to you. If you choose to continue on WhatsApp, the message you send there is handled by WhatsApp (Meta) under its own terms. Please do not enter sensitive personal information in the chat.
When you browse
We use Google Analytics to understand how visitors use the site: pages viewed, approximate location (country and city level), device and browser type, and how you arrived. Google Analytics uses cookies; see our Cookie Policy. Like every website, our server also records technical logs (IP address, browser type, the page requested and the time) to keep the site secure and working.
How we use it
- To reply to your enquiry or chat, prepare a proposal or quote, and follow up with you about it.
- To keep a record of enquiries in our own customer management system, so our team can see the history of our conversation with you.
- To understand which pages are useful and improve the website.
- To protect the website against misuse and to meet our legal obligations.
We do not sell your personal information, and we do not use the details from an enquiry to send you unrelated marketing without your agreement.
Who we share it with
Your information is handled by our own team. To run the website and our business we use service providers who process it on our behalf and under our instructions:
- Our hosting provider, whose servers store the website and our customer management system. These servers may be located outside India.
- Our email service, which delivers enquiry notifications and our replies.
- Google, for website analytics (Google Analytics).
We may also disclose information when the law requires it, or to protect our rights or the safety of others.
How long we keep it
We keep enquiry details for as long as we need them to deal with your enquiry and any work that follows, and afterwards for as long as the law requires us to keep business records. You can ask us to delete your details at any time (see below).
Your choices and rights
Under India’s Digital Personal Data Protection Act, 2023 and other laws that may apply to you, you can ask us to:
- tell you what personal information we hold about you;
- correct or update it;
- delete it, or stop using it for a purpose you had agreed to;
- explain how a complaint can be taken further.
Write to support@convotra.com with the subject “Privacy request”. We may need to confirm your identity before acting on a request.
Security
The website is served over an encrypted connection (HTTPS), and access to enquiry records is limited to the people at Convotra who need it. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
Children
This website is meant for businesses and adults. We do not knowingly collect information from children under 18.
Changes to this policy
If we change this policy, we will update this page and the date at the top.
